The application Sessions Records and Deliberations allows the management of the workflow for deliberations and decisions of government and collegial bodies. Once the Agenda has been generated and the Invitation Forwarded, it is necessary to elect someone as Minute Secretary. This can be anyone from your users list.
The action can be done by the Session Manager that is administrating the Session.
Preliminary information
The service here mentioned allows you to specify the Minute Secretary for the selected session. You will be able to define the operator acting as Secretary, only during or after the actual day of the session.
The selected operator will inherit access to this application to instruct the Session Records, validate attendances and generate the final proceeding document. Once the documentation is received and validated by the Session Manager, the Minute Secretary will lose access to the application.
Select Application
From the sidebar menu, select Sessions Records and Deliberations, then access the service Manage as Responsible of the Session - Organization from the list.
Elect the Minute Secretary
Select session
You will be given the list of available Sessions. Click on the button Minute Secretary to elect the members.
Search user to elect
You will be able to define the operator acting as Secretary, only during or after the actual day of the session.
A this point, the panel will allow you to search through your users, among those with a personal code.
You can update the operator until when the documentation from the session are delivered to the Session Manager, for example by a previously elected Minute Secretary.
At this point, the Session will be in the status In progress - Minute Secretary in Charge.
